Have you already read our article about Accounts Receivable on the Balance Sheet?
In the article below, you can find out how to locate the amount listed under your receivables in Gekko. In most cases, it involves a payment that has been recorded twice for an invoice.
Gekko Invoices in Excel
Unfortunately, spotting duplicate payments in Gekko is not easy. To check the payments for your invoices in Gekko, you need to download an Excel export of your invoices.
Before downloading all your invoices at once, it can sometimes be more convenient to filter by invoices from a specific period.
Download your invoices from the invoices page in Gekko by clicking the three small dots in the top right corner and selecting the option 'Download as .Xls'.
Once you’ve opened the invoice export in Excel, you can start looking for the payments. To do this, select the columns for the Total Amount (Column C) and the Bank Transaction (Column R).
Keep in mind that payments may also be stored in the Cash Payments column (Column Q).
After selecting both columns, you can use a handy Excel function to find differences between the total amount and the bank transaction. Go to:
Conditional Formatting > Highlight Cell Rules > Duplicate Values...
Then, instead of choosing Duplicate, select Unique, and finally click OK.
After filtering for cells with unique values, you'll be able to see the differences in the two selected columns. If there’s a discrepancy between the total amount and the bank transaction, the cells will be highlighted in light red.
Again, keep in mind that some payments may be stored in the Cash Payments column (Column Q). Additionally, invoices that haven't been paid yet are also marked.
As you can see, the invoice with a total amount of 484,34 has a bank transaction of 968,65. This is the cause for the discrepancy.
Hopefully, the explanation above helps you identify duplicate payments.
What to Do in Gekko
After identifying which invoices have a duplicate payment saved, you can open those invoices in Gekko.
When you open the invoice in Gekko, go to the 'Payment' tab. Then, delete the duplicate payment.
Finally, recalculate your financial statement in Gekko. If everything is correct, the amount in your Accounts Receivable field should then be updated.
