Getting started with Gekko and want to upload your costs from previous years? You can! You don't have to upload each receipt individually, like you would with new expenses.
Instead, you can upload all your past costs at once using out costs import feature.
Importing costs using a CSV
You can find the upload feature on the Import your data section of the settings page of Gekko. Just follow these steps:
- Download the costs example file
- Enter your data into the example file and save it (see below for important tips)
- Upload the file
Things to keep in mind when uploading
The first 5 rows of the file contains the exact format for the data. Do not delete the first 5 rows, including the example row.
- Check your language settings: In your Gekko account. If your language is set to English, you must also use English terms in Excel file.
Amounts: Do not use dots to separate thousands. For example, for 1000 EUR, do not enter "1.000" but simply "1000". Use a comma for decimals (e.g., 49,95 EUR).
VAT (21% or 9%): Fill in the amount of VAT per colomn. Even if there is no VAT, you still need to fill in a zero 0.
VAT exempt/reverse-charged: This field must always contain a value (yes/no). Do not leave it empty. You cannot enter "yes" in both fields.
Description: Fill in the description of your costs to overview on your costs page in Gekko.
Reference number: Leave this colomn empty. Gekko will automatically number the remaining entries during upload.
- Payment type: Choose from the existing types: Not yet paid; Bank transaction; Cash or private account; or Credit card.
Cost type: Choose from the existing cost categories on the cost types page. Example below is in Dutch.
Customer: You can only enter clients that already exist in Gekko. If you haven’t created any clients yet, do so first. You may also leave this field empty.
Project: You can only enter projects that already exist in Gekko. If you haven’t created any projects yet, create them first. This field may also be left empty.
Can I import receipts or invoices in bulk?
You can only upload the amounts, not the receipts themselves. After importing the amounts of your costs, you can later add a digital copy of your receipts by taking a photo using the Gekko Costs app.
